Legal Operations Manager – Irvine/Los Angeles

The ideal Legal Operations Manager candidate would be based in our Irvine location and oversee the operations of both our Irvine and Los Angeles offices.

This management-level role allows for the development of working relationships within multiple offices, and will be working alongside exceptional other team members in a dynamic environment. Ideal candidates should have 5+ years of legal operations experience overseeing, supervising, hiring, and managing law firm staff, as well as management of building and vendor relationships. Candidates should also have a B.A. or A.A. degree, and/or an equivalent combination of education, experience and professional certifications (PHR, CLM). A Certified Legal Manager (CLMSM) certificate is preferred, but not required.

PRIMARY RESPONSIBILITIES INCLUDE:

  • Oversee and manage the hiring, training, development and discharge of all staff in Irvine and Los Angeles. Recruit, train and supervise legal support staff.
  • Promote teamwork, inclusion and the firm’s Core Values in Irvine and Los Angeles offices. Provide leadership, motivation and a positive presence. Improve operational management systems, processes and best practices.
  • Prepare annual staff evaluations, conduct review meetings with Managing Shareholders and make recommendations for salary adjustments/bonuses, as budgets allow.
  • Conduct staff, paralegal and legal assistant meetings as necessary, and coordinate with various Management Team members to ensure consistent application of policies and procedures in all locations.
  • Stay informed of changing laws concerning employment in California, and proactively implement those changes within your teams.
  • Approve PTO (Paid Time off), overtime and make up time, including coordinating vacations and coverage, for the staff in Irvine and Los Angeles via Paylocity.
  • Coordinate the administration of leaves of absence, workplace injuries and investigations with the Director of Human Resources.
  • Provide Staff employee counseling and administer discipline, in coordination with Director of Human Resources, Chief Operating Officer, and/or Managing Shareholder(s).
  • Promote compliance with the Firm’s Employee Handbook and ensure these efforts are documented when necessary.
  • Oversee and manage legal assistant/paralegal workflow and coordinate timekeeper/legal assistant assignments.
  • Oversee and manage all facilities related departments (Production/Records/Reception) and the associated vendor relationships in Irvine and Los Angeles.
  • Assess Litigation Support needs, make recommendations re: same, and oversee litigation support efforts.
  • Participate in the evaluation of litigation support programs and coordinate training.
  • Attend and report at monthly attorney meetings, communicate regularly with Irvine and Los Angeles managing shareholders and participate in quarterly Management Team meetings.
  • Promote the Firm’s benefit programs and collaborate with Payroll and Human Resources to provide answers to questions.
  • Work in collaboration with all Management Team members to ensure various firm campaigns are understood, promoted and successful in Irvine and Los Angeles. Examples of firm campaigns include social events, informational meetings, changes to benefits, retreats, requests for information, etc.
  • Resolve conflicts and/or challenges within the Irvine and Los Angeles offices. Act as liaison between teammates in Irvine and Los Angeles and teammates/Management Team members in other offices.
  • Mentor Operations Assistants in Irvine and Los Angeles as they ensure the office space is well-maintained and presentable at all times. Act as the primary contact for the Building Management Office(s) and ensure the firm is perceived as a favorable tenant.
  • Mentor Operations Assistants in Irvine and Los Angeles as they ensure all office equipment is well-maintained. Evaluate requests for additional equipment. Secure approval for the procurement of new equipment when necessary.
  • Analyze Irvine/Los Angeles office supply expenditures and recommend alternatives/new vendors when needed. Work with Operations Assistants as they maintain office supplies vendor relationship.
  • Periodic travel between Irvine and Los Angeles in order to maintain a presence in both locations.
  • Participate in annual budgeting process, and provide support for online research contract negotiation. 
  • Ensure proper accounting controls are employed in Irvine and Los Angeles. 
  • Coordinate the hiring process for staff in our growing Irvine and Los Angeles office locations.

  • Merit-based compensation, with a starting annual pay range of $85,000 – $125,000 (depends on experience).

Pay ranges are provided in compliance with SB1162, California’s pay transparency law; actual pay may vary based on a variety of factors, including education, applicable experience, etc.
